Common questions
How do I connect or reconnect a company?
- Open the client’s page for the consolidation group.
- Choose Connect to QuickBooks and sign in to that company. Repeat for each company in the group.
We only read from it until you explicitly approve a fix. If a connection stops working, reconnect from the client’s page.
Does Flatbooks cover my client’s reporting needs?
Connect the related QuickBooks Online companies needed for one client’s group report. They need the same home currency, accounting basis and fiscal-year start. Flatbooks reads each company’s fiscal year from QuickBooks.
Flatbooks eliminates recognized due-to/from balances and management fees, and the balances, sales and purchases with a customer or vendor named exactly as a connected company. Amounts between the companies booked through a customer or vendor named otherwise (receivables and payables), or through income and expense accounts that don’t name the other company, aren’t recognized or eliminated. Where one company owns another entirely, it eliminates the owner’s investment and the distributions it took as income against the owned company’s paid-in capital and distributions, when they agree to the penny; for a company the owner bought in an earlier fiscal year, the price against the owned company’s equity on the purchase date, with the rest shown as goodwill (not amortized or tested for impairment). It does not calculate non-controlling interests, a purchase during the report’s fiscal year, a purchase of a company that already owns others, intra-group profit in inventory or assets, or currency translation.
Before export, complete Review report requirements for the selected month. This records your answers about the companies, their ownership and any extra adjustments; it does not automatically verify those facts from QuickBooks. If a required company is missing, one connected company owns another, unsupported group adjustments are needed, or you’re unsure, export stays paused.
Save a separate review for each reporting month and review again when the connected companies change. Update your answers if ownership or reporting needs change within the month. Saving does not change QuickBooks or download a workbook; financial checks must also pass. Confirm uncertain requirements with your accountant, and don’t alter correct books to clear a check.
You can try the fictional example and inspect its workbook before connecting.
What happens when I disconnect?
Open the company on its client’s page in Flatbooks and choose Disconnect. You can also disconnect in QuickBooks under Settings → Apps.
We delete your connection’s token and revoke it at Intuit, so we no longer access that company’s data for you. If another Flatbooks workspace also has the company connected, QuickBooks shares one grant between you, and that workspace keeps it.
Before disconnecting
Disconnecting also removes the reviewer decisions you made for that company (accounts matched with a company or kept as a real balance), including any recorded on your other companies. Reconnecting doesn’t bring them back; you’d decide those accounts again.
Posted fixes and their history are kept.
How do I approve or undo a fix?
- Investigate the difference in QuickBooks and the source records. The difference alone does not tell you which company is wrong.
- If a correcting journal is appropriate, choose the company to correct and record the reviewed cause and source reference. Choose the intercompany and offset accounts.
- Preview the exact journal entry, then approve it to post to QuickBooks. Flatbooks checks fresh reports after posting; other issues can still prevent export.
- To undo it, open History on the client’s page, find the entry in Fix history, and choose Undo. This posts a reversing entry; the original entry and its history remain.
If the cause is unclear or the original transaction needs editing, investigate or correct it in QuickBooks first, then refresh the balances in Flatbooks.
Nothing is written without your approval. Fixes are ordinary QuickBooks journal entries your client’s accountant can review.
How do I manage billing or request a refund?
Paid plans are billed monthly. Manage or cancel your subscription from your account settings.
We offer a 60-day money-back guarantee. Within 60 days of subscribing, use Cancel and get a full refund in your account settings, or email us, and every payment is refunded in full. See the Terms for details.
How do I delete my account and data?
Before deleting, use Download workspace records (JSON) in Account to keep your saved review notes, mappings and correction history. This JSON download is available after cancellation or a refund. Keep previously downloaded financial workbooks separately.
Use Delete account in your account settings, or email us. We’ll remove your data and disconnect your QuickBooks companies as the Privacy Policy describes, except your billing and payment records (your email address, invoices and payments), which are kept by our payment processor, Stripe, as the law requires.
Read our Privacy Policy for how we handle data.
